Key areas of responsibilities include:
- Dictaphone typing
- Administration - arranging meetings, booking conferences, travel management, booking taxis, video conferencing, conference calls, booking meeting rooms, lunches and dinners.
- Telephone - dealing with clients in fee earner's absence
- Diary management - keeping diaries up to date to give a true reflection of meetings/appointments/conference calls for the day
- Expenses - claiming of expenses, instruction dockets
- Courier - delivery to/from courier hub
- Faxes / Photocopying
- Anti-Money Laundering procedures
- Briefs - preparing briefs for Counsel if working in Litigation area
- Billing - preparing draft bills, producing billing guides, preparing Excel narratives for each bill etc.
- Filing - Electronic and Paper filing
- PowerPoint presentations
- Excel spreadsheets
- Ensuring firm’s billing and CRM databases are kept up to date
Experienced secretaries should be highly proficient in MS Word with excellent typing speeds; have the ability to work under pressure and to meet deadlines; have a good knowledge of MS Excel and MS PowerPoint. We require our secretaries to have a can-do attitude and to be client-focused team players.
